Recycle bin

The recycle bin gives access to ImageMaster documents that have been deleted by users. If the ImageMaster system is configured to use the recycle bin (the default state), documents are not deleted immediately but moved to the recycle bin. If you have access to the recycle bin, you can search for such documents, view, restore or erase them irreversibly.

To view deleted documents, expand the panel Maintenance in the sliding navigation menu and select Recycle Bin. When you access the recycle bin view, you must first refresh the view to see any entries.

The Recycle Bin view consists of three panels:

  • the recycle bin hit list with a functional panel

  • the sliding recycle bin document preview

  • the filter panel

Document preview in the recycle bin

The view is similar to the standard document preview, and it offers two specific functions: erase and restore. If a document has attachments, they are displayed in the same way as in the standard document preview.

Note that if the deleted document is added to any register, register links are displayed but they are disabled.

Recycle bin hit list

If you have no permission to access a specific document type, no attribute values are displayed for the related items and no document preview is available.

The hit list is presented in a style which is similar to the one in the full text search. If the hit list contains more entries than defined by the threshold, the entries will be arranged by pages. You can switch between pages by clicking the navigation buttons. Multiple selection in the hit list is supported.

The following parameters are presented for each document in the recycle bin hit list:

  • Deleted on: date and time when the document was deleted

  • By: the name of the user who deleted the document

  • Document type: a document type name of the deleted document

  • Attribute values: all original document attributes that are marked as visible in the hit list of the respective document type

To preview a document, select the box of the corresponding document. In the sliding preview panel you will see the standard document preview. To update the recycle bin hit list, click “Refresh”: .

You can perform the following actions with deleted documents:

  • filter deleted documents

  • sort deleted documents

  • restore deleted documents

  • erase deleted documents irreversibly

To add a filter to the recycle bin hit list

  • Click in the Filters panel. The Select Filters dialog is shown:

  • Select the box for the filter to be added. The following options are available:

    • Deleted: If selected, specify the deletion period.

      By default documents that were deleted during the last week will be displayed when entering the recycle bin for the first time. The following options are available:

      • Last Day

      • Last Week

      • Last Month

      • Last Year

      • Custom: Specify the period by setting the From and To values. The From value is mandatory. If the To value is empty, the current time is used.

    • By User: Specify the username by typing it.

    • Document Type: Specify the document type by selecting it from the list of all available document types.

    • Characteristics: Specify several attribute values. These are concatenated by an AND expression.

  • Define the filter values and click Apply. All attribute values that have been referenced in the filter will be highlighted in the hit list and the filter value is displayed in the Filters panel as a plain text:

  • Click the filter text to update the filter value (which is either represented as plain text or as date/time picker).

  • To delete the filter, click the cross sign near the filter entry in the Filters panel.

To sort deleted documents

  • Select the sorting parameter from the list near the label Order By. The following options are available:

    • Deletion Date

    • Document Type

    • User

  • Specify an ascending or descending order by clicking the up and down arrows / . By default the hit list is sorted in descending order by the deletion date.

To restore deleted documents

If you have the respective permissions, documents can be restored as follows:

  • Select one or more documents in the hit list to be restored.

  • Click Restore in the document preview (for a single selection only) or the click the icon in the functional panel.

  • Confirm your action in the dialog:

  • The document will be restored to the repository and removed from the recycle bin. The hit list will be updated automatically.

To erase deleted documents

If you have the respective permissions, documents can be erased as follows:

  • Select one or more documents in the hit list to be erased irreversibly.

  • Click “Erase” in the document preview (for a single selection only) or click the icon in the functional panel.

  • Confirm your action in the dialog:

  • The document will be removed irreversibly from the system. The hit list will be updated automatically.
