Extended viewer

The features described in this chapter are only available if the extended viewer is licensed and activated in your environment. If the toolbar icons described below are not visible, contact your system administrator.

All standard viewer functionality described in chapter Standard viewer is available in the extended viewer. Depending on your system configuration and the licensed extensions, additional actions may be available in the viewer toolbar. The following sections describe some of these actions.

PDF Annotations

The viewer provides tools to add, edit, and delete annotations directly within the attachment preview.

The following annotation types are available:

  • highlights

  • comments

  • sticky notes

  • drawing tools

The annotation toolbar appears in the viewer toolbar area when a PDF attachment is opened. Annotations are saved to the document upon confirmation. To edit or delete an existing annotation, select it in the viewer and choose the corresponding option.

Annotations are stored in a separate XFDF file. By default, XFDF is an invisible MIME type and is not visible to the user. The PDF itself may already contain embedded annotations. These embedded annotations are read-only and cannot be modified by the user. The user can create, modify, and delete only those annotations that are stored in the external XFDF file.

Adding and editing annotations requires the following conditions to be met:

  1. The user has both Add Attachment and Delete Attachment permissions.

  2. The attachment is a PDF file (even if stamping has been applied, annotation editing is still allowed).

PDF redaction

The redaction tool allows permanently removing sensitive content from PDF attachments.

To apply redaction:

  1. Select the redaction tool in the viewer toolbar.

  2. Mark the areas to be redacted.

  3. Preview the result to verify the selection.

  4. Apply the redaction permanently.

Redaction is irreversible. Once applied, the original content cannot be restored.

Applying redaction requires the following conditions to be met:

  1. The user has both Add Attachment and Delete Attachment permissions.

  2. The attachment is a plain PDF file without any applied extensions such as stamping.
