Content repositories configuration

Several SAP content repositories may be reflected within one ImageMaster content repository, where each SAP content repository must be characterized by a unique repository name. Each content repository allows for its own status and protection configuration (see the corresponding parameters below). In certain scenarios it may make sense to use separate repositories with different access and document protection settings. Available content repositories are listed alphabetically in the content repositories list (general ImageMaster filtering functionality is available).

The following operations with repositories are available:

  • add or delete the SAP content repository

  • configure the SAP content repository

  • edit default values for content repositories

To add / delete SAP content repositories

  • Click Add Content Repository to specify a new content repository. A corresponding dialog is displayed.

  • Enter the name of the new repository and click OK. A new tab appears in the Content Repositories tab (see figure SAP – Content Server).

    A content repository name can contain up to 30 characters. However, if the SAP ArchiveLink type “Work Item” or if SAP ILM is used, associated content repositories must only have two characters in their name because otherwise related functionality is not supported by SAP!

  • If necessary, click Delete Content Repository and confirm.

    A content repository which already contains documents cannot be deleted.

  • Click Save.

To configure an SAP content repository

  • Select an existing content repository tab (see figure SAP – Content Server).

  • Adjust the attribute properties on the subordinate tabs in the right-hand area:

      • In the Description field, enter the short description of the content repository.

      • In the State Description field, specify the short description of the content repository state.

      • In the Document Type field, enter the document type associated with the content repository.

      • In the Content Repository Status field, select a status. To activate the SAP content repository, set the status to “Running”.

    • Certificates

      In ArchiveLink, the security feature “access protection” is available (see parameter Content Repository Protection above). This feature requires certificates to be installed, which must subsequently be activated here.

      • To activate the security configuration, select a certificate and set its status to “Active”.

      • Optionally, enter a comment on the certificate.

      • Optionally, assign certificate to a certain role. In case no role is selected, a default role is used.

      • Optionally, select the document type from the Override Document Type dropdown list. This document type will be used to store the document if the certificate is utilized by the SAP system. The content repository can be configured to support multiple ImageMaster document types, allowing different document types to be used for storing documents based on the certificate utilized.

      • If necessary filter the list, by clicking Show only inactive certificates.

      • You can also Delete Certificate.

      • Click Save.

        For access protection by security keys, a certificate must be activated!

To edit default values for SAP repositories

  • Click Edit Defaults. The Edit Repository Defaults dialog window is displayed.

  • Provide the values that will be displayed as default for a new content repository. See SAP Content Server – Repository configuration settings (SAP / ArchiveLink) for explanations on the fields from above. Click OK to close the window.

  • Click Save.

Content repository parameters

The following table presents an overview of the SAP configuration settings (see SAP – Content Server) and their description.

General parameters sub-tab

Description

Enter a text description which may be useful to describe the particular usage context for a specific SAP content repository, since there may be many of them in one ImageMaster environment.

State Description

Enter an arbitrary text description intended to provide a reason for a possibly temporary “stopped” status.

Inbound Only

Select the check box to define the current repository as inbound only. This means that SAP ArchiveLink reads data only but never stores new data in the content repository, while Messaging for ERP is still able to do so.

If this check box is selected, the list for the document type becomes disabled.

Document Type

The field is mandatory.

This text field represents an internal ImageMaster document type, which will be created with the next document create request by the content server. All requests from the content server for the designated content repository will be mapped to this type. It is recommended using the preset custom default type.

Do not change this entry in a production environment for a content repository which has already documents in it! Access to old documents would otherwise be rendered impossible for the currently configured SAP system.

Only in exceptional scenarios (e.g. migration) or in testing or reference environments it may make sense to switch document types in a running environment.

Content Repository Status

Select one of the options: “Running” or “Stopped”.

In status “Stopped” the content server denies service requests for this particular content repository by a corresponding error message.

Use Content Repository Protection

Select this check box to enable a special account protection that provides an SAP client request with a so-called security key (an encoded part within the URL which validates the request). If selected, configure the settings on the Use Content Repository Protection panel below.

Read Only

Select this check box to set a content repository in read-only mode.

Content Repository Protection

If the Use Content Repository Protection option (above) is selected, specify for which of the operations “Create”, “Read”, “Update” or “Delete” the security key must be provided in an SAP client request. If an operation is activated for access protection (the check box is selected), the content server will deny any requests with missing security keys for this operation.

For the highest level of security, select all four check boxes. In certain scenarios it may make sense to soften security (e.g. allow read access without a security key).

For the security key mechanism, a certificate must be activated (also see parameters in subtab “Certificates sub-tab” below)!

Document Protection

This denotes the default document protection which is set in the repository when a new document is created by the content server.

In an ArchiveLink environment any document which is created in a repository may be fitted with document protection attributes (read, update, and delete). An SAP client may provide these document protection attributes individually for each new document which is being created, as a parameter in the corresponding create request, but ArchiveLink also allows for omitting this parameter in the request. In such a case however, a default must be set in the repository. This default is defined here.

For the highest level of security, select the following check boxes: “Read”, “Update” and “Delete”). For further details see ImageMaster SAP CUD extensions in the corresponding system manual [SM ERP].

Expiry Prolongation

The time a request will be kept valid additionally to the default expiration time. The time is defined according to ISO 8601 standard allowing unlimited prolongation. For more details see [ISO 8601].

Stamp

Select a stamp from the list to enable stamping by the Content Services for ERP. Related stamp details are set up according to Stamps configuration (for Stamping Service).

In this case the ArchiveLink content server takes care of stamping outgoing PDF content. If a content repository contains documents of different document types, then all documents, regardless which ImageMaster document type they are, get the stamp.

Stamping is only done for the ArchiveLink output channel via the content server, no matter what the system-wide configuration defines.

If content repositories (e.g. A1 and B1) share a document type and stamping is configured for content repository A1, then only the requested documents for content repository A1 get the stamp. Requested documents of content repository B1 are not affected.

Enable Conversion To PDF

Select the check box to enable a conversion of documents into PDF format.

Conversion Mime Types

The setting is enabled if conversion to PDF is enabled. From the list, select the MIME types that can be converted to PDF. To add / remove MIME types, use Add Conversion MIME Type / Remove Conversion MIME Type.

Certificates sub-tab

Name

Select a certificate from the list that contains the names of the certificates which have been installed by an administrator (as part of the content server deployment). A valid certificate must be provided by a proper content server installation.

Status

Select “Active” to enable access protection based on security keys.

Version

The parameter displays a version of the certificate.

Expiration

The parameter displays an expiration period of the certificate.

Comment

The field displays an additional information on the certificate.

Show only inactive certificates

Select the check box to show only inactive certificates for the content repository.
