Policy assignment by batch import
By clicking Import it is possible to assign policies to a bigger number of mailboxes. The policy mapping has to be defined in an Excel sheet. The format of the Excel sheet is fixed with the following columns:
-
A – Mailbox Identifier
-
B – Policy Name
The Excel sheet must not contain a header row. The mailbox identifier can be of one of the following types:
Note that one Excel sheet can only have one type of mailbox IDs. A mixture of different types within the same mapping list is not supported. The identifiers are mapped in a case-insensitive manner.
To assign a policy by batch import

Click Import.
A dialog appears where you should specify the type of mailbox identifier.
Do NOT use the option “Force Policy Assignment” unless this is explicitly instructed for a special use case. For related information see option “To force an assignment” in section “Actions with mailboxes”.
-
Click Ok to confirm selection.
-

The batch assignment of policy to mailboxes starts automatically after file selection. The status of each assignment is reported in an output Excel file which is offered for download after completion of the batch import. The format of the output Excel file follows the input file format with an additional third column for the policy assignment status. The status can be one of the following values:
-
Assigned: Policy assignment was successful.
-
Mailbox Not Found: The mailbox in the input file wasn’t found in the registered mailbox list.
-
Policy Undefined: The policy in the input file is not defined.
-
Assignment Error: <reason>: Assignment via the Coordinator failed. The error message contains error description.
-
If the mailbox belongs to an Exchange server environment of type Microsoft 365, it is impossible to assign a compliance policy and the assignment of the compliance policy to such a mailbox fails.
