Modifying attributes

In a document view you can edit attributes either for a single open document, or jointly for several documents (see chapter Document preview for more details on editing multiple documents). Execute the following steps to modify attributes:

  1. Open the document in the Document details view or select documents to be edited in the hit list.

  2. Enable editing of the document by expanding the menu Document and selecting the function Edit from the menu.

  3. Select an attribute field and enter a new value. (Also see the sections beneath for related information on mandatory fields and input validation.)

  4. Confirm the changes by clicking Save. To cancel your changes click the button Cancel.

    Only upon clicking Save the documents will be modified in the archive (or respectively, a new version of each document with the modified attributes will be generated), otherwise your changes are lost if you just close the dialog!

Mandatory fields

Mandatory fields, which require an input value, are marked with an asterisk.

Input format validation

The WorkplaceClient validates the input format and distinguishes basic field types such as typically text, number or date. A corresponding message is displayed in error cases:

Multi-value entries for attributes

For multi-value attributes additional input fields can be opened by clicking the plus symbol located to the right of the last value field:

If you press the "ENTER" button in a multi-value input field, the focus will be moved to the next multi-value input filed. If the focus was in the last multi-value field, a new input field is automatically created.

When you paste a value containing many elements separated by newline or carriage return characters (e.g. columns from an Excel file) into a multi-value input field, multiple input fields are created (one for each element). If the number of copied values exceeds the maximum number of input values, the extra values will be ignored.

To remove the additional input field, click the minus symbol. If the maximum number of input values is reached, the plus symbol is replaced by the minus symbol.

Search for referenced attributes

In case document has referenced documents it is possible to search over the connecting attribute to retrieve this:

To search over the connecting attribute, do the following:

  1. Click the search icon near the connecting attribute field.

  2. The search window opens. Select the configured document type from the list. Adjust the fields as desired and click Search:

  4. The search results are provided in the window. Select the connecting attribute from the list and click Select.

  5. The connecting attribute value will be set for the edited document.

Editing multiple documents

You can change several documents jointly and only edit those fields that should coincide for all documents. To open several documents for editing, do the following:

  1. In the hit list select several entries via the check boxes in the first table column (see chapter Hit list).

  2. Enable editing of the document by expanding the menu Document and selecting the function Edit from the menu.

  3. A special panel for multiple edit mode is displayed where you can enter new values.

In multiple edit mode the details panel displays only those field values that are edited in all documents. Empty fields indicate that there are different values amongst the documents. If you enter or change a field value, it will be assigned to all opened documents when saving, while the fields that you do not edit will remain unchanged for all documents. The panel with attached files is not displayed in multiple edit mode.
